Booking Terms and Conditions
1.Booking your Trip
You may book a trip with us through the following channels:
Email Booking – Contact us by email to plan and book your trip.

Online Booking – Book your trip directly through our website and complete all the required information accurately.
When booking a tour, all passport details are required. You must provide us with your full name, passport number, nationality, gender, and date of birth exactly as they appear on your current passport or send us a photo of your passport, please ensure that all identification documents are clearly legible.
Once your payment is confirmed, we will check availability and secure the required permits and services. Your tour is fully confirmed only after you receive written re-confirmation from Cusco Destinations Travel.
Please note: We will use the passport information you provide on your booking form to reserve hotels, Entrance fees, and the Inca Trail. If you have changed or renewed your passport, please ensure you bring both your old and new passports. If you are unable to bring both, you must notify us immediately of your new passport number before to your trip to avoid any confusion with your bookings. This is especially important for booking any trek or tour to Machu Picchu.
2.Deposit.
Initial Deposit.
To secure your booking, we require an initial deposit. This deposit allows us to arrange essential services, including permits, train tickets, hotels, and other advance reservations. The deposit is non-refundable and non-transferable.
A 5.5% processing fee applies to online payments made by credit/debit card and a 7% processing fee to PayPal transactions. This fee covers third-party payment processor costs and is calculated on the amount paid online.
The initial deposit amount depends on the selected itinerary and when you are making the reservation you will find the minimum deposit amount required based on the total price range of the selected package per person.
3.Remaining Balance.
The remaining balance must be paid online methods or in Cusco in our office with cash at least 48 hours before your tour departure. we accept both U.S. and Peruvian currency of any denomination. We do not accept any ripped or torn bills.
If you are not arriving to Cusco 2 days before your tour, please contact our sales team in advance to arrange an alternative payment option.
However, the deposit can also be paid in advance by credit/debit card (5.5% service fee) or PayPal (7% service fee), with the payment processing fee paid by the traveler.
4.Cancellation Fees | Tour Packages & Multi-days hikes
The following cancellation and refund conditions will apply
If you cancel 60 days or more before the tour start date: Cancellation fees are equal to the amount of your deposit.
If you cancel 59 days to 31 days before the tour start date: 60 percent of the trip cost.
If you cancel 30 days to 16 days before the tour start date: 80 percent of the trip cost.
If you cancel 15 days to 7 days before the tour start date: 90 percent of the trip cost.
If you cancel in case the full less than 7 days before the tour start date: 100 percent of the trip cost.
The amount has been paid, or any refund, if applicable, will be processed no earlier than 30 days after the originally scheduled travel date and according to the cancellation conditions. We will issue the applicable refund, excluding any transaction fees, taxes, bank charges, or other costs incurred during the refund process. Any costs associated with processing the refund will be cover by the client and will be deducted from the refund amount.
For specific entrance tickets such as Machu Picchu, Huayna Picchu, or the Inca Trail, it will be necessary to repurchase the tickets, as they are non-transferable and strictly subject to availability.
Partial Group Cancellations: If one or more members of a group cancels or have requested a special quote, the rest of travelers may be required to assume additional costs, such as single room supplements or other group rate adjustments due to under-occupancy.
5.Cancellation Policies | Day Tours
For day tours that do not include Machu Picchu or reservations like hotels or entry tickets, we offer free cancellation up to 72 hours before the tour departure. This applies to popular day trips such as Rainbow Mountain, Humantay Lake, Sacred Valley, Maras Moray, and similar experiences.
If you cancel within 72 hours of departure, no refund will be issued.
Refunds will be processed using the original payment method used for the booking. excluding any transaction fees, taxes, or bank charges incurred during the refund process.
Important Note: In the event that a passenger voluntarily requests to cancel a trip or tour package for any reason, the passenger must notify us of their decision in writing via email. Before submitting a cancellation request, passengers are advised to carefully consider their decision and review the applicable cancellation deadlines, fees, and penalties outlined in the Cancellation Policy.
Once a cancellation request has been submitted and confirmed, it will be processed in accordance with the applicable cancellation terms and conditions.
6.Changes by Client
If, after our confirmation invoice has been issued, you wish to change your travel arrangements, for example your chosen departure date or accommodation, we will do our outmost to make these changes requested, such modifications are subject to availability and cannot be guaranteed. There may be additional costs associated with the changes.

7.Flights & Airlines
We have no control over international or national carriers, and schedules may change, or flights are delayed due to no fault of our own. We will do all we can to ensure the smooth flow of all your transport connections, but it is your responsibility to check the exact times of flights and reconfirm these. Flights can be rearranged at short notice. Cusco Destinations Travel accept no responsibility for the consequences of flights missed due to the client’s failure to reconfirm.
Flying to Latin America involves long flights and may require changes in other airports. It is your responsibility to arrive at the departure airport at the appropriate time (2 to 3 hours for international flights and 2 to 1 hours for internal flights in Peru)
8.Force Majeure
Force Majeure is any event that Cusco Destinations Travel cannot even with all due care foresee, control or avoid. This covers events such as war or threat of war, riot, civil strike, industrial dispute, disease, natural disasters, adverse weather conditions, fire, or all similar events beyond our control. In this case, Cusco Destinations Travel will not accept liability and reserves the right to change, postpone or even cancel trips. We will always try to provide alternative options before canceling a tour.
9.Travel Insurance
We strongly advise you to take out travel insurance that covers accidents, emergency medical expenses and evacuation coverage. We also recommend that it covers cancellations and loss of luggage. You can use a travel insurance comparison website to search and compare over 250 travel insurance plans to find the best policy to best suit your needs.
10.Right to Use Images.
We the right to photograph to use images, photos, and videos and use them for promotional purposes. By making a reservation with Cusco Destinations Travel, program participants agree to have their images used for marketing and advertising. Participants who do not want their images used must notify their travel program escort at the beginning of the program.
