BOOKING PROCEDURES
1.Bookings
You may book a trip with us through the following channels:

Website: If you prefer to book through our website, complete all the requested information accurately.
To book, passport details are required. You must provide us with your full name, passport number, nationality, gender, and date of birth exactly as they appear on your current passport or send us a photo of your passport, please ensure that all identification documents are clearly legible.
Once payment is confirmed, we will verify availability and secure the essential tickets for your trip. Your reservation will be totally confirmed after you receive written confirmation from Cusco Destination via email.
Please note: We will use the passport information you provide on your booking form to reserve hotels, Entrance fees, and the Inca Trail. If you have changed or renewed your passport, please ensure you bring both your old and new passports. If you are unable to bring both, you must notify us of your new passport number before to your trip to avoid any confusion with your bookings.
PAYMENT & DEPOSITS
We accept the following payment methods for both initial deposits and final payments: Credit / Debit Card , Platform We Travel ( 5.5% service fee ) , PayPal ( 7% service fee ) and Cash. All payment methods incur their respective commissions, which is paid by the traveler.
Initial Deposit.
The initial deposit ( Pre-Payment ) is non-refundable and non- transferable for all the bookings. Because the deposit is immediately used to secure permits, entrance tickets, hotels, trains, and to hire service providers. The reservation will be fully confirmed upon receipt of the initial deposit.
• Day tours & day hikes.
We require an initial deposit of 50% of the total cost and the Final amount must be paid 48 hours before your tour departure.
– Machu Picchu Tour , Inca Trail and Alternative Treks.
we require a deposit of US$200.00 per person in order to purchase a your entrance to Machu Picchu and train ticket. The Final amount must be paid 72 hours before your tour departure.
• Tour packages & multi-Day hikes.
Including hotels, we require an initial deposit of 50% of the total cost and the Final amount must be paid 17 days before your tour departure.
• We require full payment of the Tours/Treks equivalent for last-minute Bookings.
Remaining Balance: If you would like to avoid credit card fees, you may pay in cash (U.S. dollars or Peruvian soles) here in Cusco. Please contact our sales team to arrange payment.
Note: Please, when paying with cash ensure that your bills in USD are clean, without marks or rips, which is highly appreciated.
The permissions for INCA TRAIL and HUAYNA PICCHU MOUNTAIN are limited spaces and must be reserved and purchased in advance. we need this information at the same time as your booking.
NOTE: In the case of the passport number has changed due to renewal after make the booking, you will need to bring a legible copy of the old as well as original of the new Passport, because at the inca trail checkpoint , you must present the passport used to get your permit ,otherwise you will not be allowed to enter the Inca Trail.
Please inform us of this change so we can update this information for all your reservations. This modification has to be made prior your trip in advance to avoid or create a inconvenience to update it at the last minute. Also we will let you know the extra cost incurred for these changes.
DISCOUNT STUDENT CARD
To get a discount as student for the entrance fee to Machu Picchu or Inca Trail ,according the regulations from Ministery of Cultura, the University students must provide a copy of their ID card showing a photo, University name and card expiration date. Cards must be valid for the current academic year only. The discount applies ONLY if the student card show the valid student ID card with 5 request print it on the university card ( university name ,student name,student picture,issue date and expiration date ). The discount is US$20.00.
DISCOUNT CHILDS
Children under 17 years old receive the same discount as a student and child’s passport must be provided at the time of the booking in order to apply the discount (USD 20.00).
In case the full amount has been paid, or any refund , if applicable, will be processed no earlier than 30 days after the originally scheduled travel date and according the cancellation . The cost incurred during the refund process ( transaction fees,etc ) will be cover by the client.

CANCELLATION POLICY
Notification of cancellation requests must be in writing directly to your sales advisor via email. The person who made the reservation and initial deposit must make
the request.
The penalties will apply depending on when the cancellation notice will be received.
The cancellation charges are as follows:
Confirmed reservations with initial payments are non-refundable.
36 days before the tour start date: an 60% cancellation fee will apply.
14 days before the tour start date: an 80% cancellation fee will apply.
7 days before the tour start date: an 100% cancellation fee will apply.
NO SHOWS: If clients do not show up for the tourist circuit or decide not to continue the excursion , no refund will be made, considering NO SHOW.
In case the full amount has been paid, any refund—if applicable—will be processed no earlier than 30 days after the originally scheduled travel date, in accordance with the cancellation policy. Transaction fees or other costs incurred during the refund process will be covered by the client.
HOTELS
If your reservation includes accommodation nights, hotel confirmations are subject to availability. If there is no space in the specified hotel in the confirmation email, the client will be given another of similar category . Likewise, in the case of early check-in and late check-out, an additional fee will be applied according to the hotel policies.
FLIGHTS DELAYS
We cannot be held responsible for any delay of your flights, whether the cancellation or this delay is caused by adverse weather conditions, the action of air traffic controllers, airport authorities , the rescheduling of flight times by the airline, mechanical breakdown, strike, industrial action or any other reason.
TRAVEL INSURANCE
We strongly recommend that all travelers purchase comprehensive travel insurance. This can provide protection in the event of medical emergencies, tour cancellations, and other unexpected events during the trip. Travelers are responsible for any expenses resulting from flight delays, schedule changes, missed connections, illness, or travel disruptions caused by bad weather, trail conditions, strikes, natural disasters, cancellations, or force majeure events beyond our control.
